You want to make sure, above all, that your letter is easy to read. You don’t know if a real person will be reading it, or if the company uses an applicant tracking system or some other kind of online hiring system.

Use a basic, simple font. Arial, Times New Roman or Verdana are all easy to read.

Use a 12 point font to make sure that your letter is easy to read, and leave white space between your paragraphs. This also helps make your letter easy to read. Nothing is worse than enormous paragraphs, or large walls of text that are not split up with enough white space. Have a few people read it before you send it, and ask for their feedback as to how easy it was to read.

Put your name and contact information, including your phone number and mailing and email address, in the top right corner of your cover letter. Do not forget to do this as often your cover letter may get separated from your resume, so you must have your personal details on it.  Two spaces underneath this, put the date.  If you have contact information for the employer (look it up, if you don’t), put this two spaces below your contact info, but left-justified.

Double-space, then insert your salutation. If you don’t have a specific contact name, (however it is hightly recommended that you find one and use it) then leave this out entirely.

For your closing, double-space underneath your last paragraph and use a complimentary phrase, such as ‘respectfully yours’ or ‘sincerely’.  If you are mailing your cover letter and resume, hand-sign the letter and then include your typed signature underneath it. If you are emailing, then just type your name.
